CUDS takes equity matters very seriously and is committed to upholding both the CUSA & CUSID codes of conduct.

1. (a) The Equity Officer will appointed at the beginning of every year by the Executive.
(b) In the event that the Officer is unable to fulfill her duties, the Executive shall appoint a new one.

2. This policy is binding on all CUDS events, including, but not limited to, meetings, internal and external tournaments, official socials and any Internet-based presence.

3. In the event that a CUDS member feels a violation of either of the relevant codes of conduct has been committed, he or she may file a complaint:

(a) A complaint may be filed by contacting the Equity Officer; contact information will be supplied in the Carleton CUSIDnet forum and at www.carletondebate.org.

(b) Anonymous complaints may be made; however, the Equity Officers are limited in their investigation by the amount of information given to them.

4. The Equity Officer will investigate all complaints received. An Equity Officer may at their discretion refuse to investigate a matter if, in the Equity Officer's opinion:
(a) the subject-matter of the complaint is trivial and/or is not envisioned in the CUSA and/or CUSID codes of conduct;
(b) the complaint is frivolous or vexatious or is not made in good faith;
(c) the complainant has not a sufficient personal interest in the subject-matter of the complaint.
(d) under the law or existing administrative practice there is an adequate remedy for the complainant, whether or not the complainant has availed himself, herself or itself of it.

In any case where the Officer decides not to investigate or further investigate a complaint, he or she shall inform the complainant of that decision, and may if they think fit state the reasons therefore.

5. If the Equity Officer have decided to investigate an issue:
(a) the accused person or persons will be notified as soon as possible.
(b) the accused person, at the Officer's discretion, will be afforded to make a written statement responding to the allegation against them.
(c) every investigation by the Equity Officers under this policy shall be conducted in private.
(d) the Officer shall keep a written record of all elements of the investigation.

6. Upon the completion of an investigation, the Equity Officer shall inform the complainant and the accused person or persons of her decision, and may if he or she thinks fit state the reasons therefore.

7. In the event of a violation, the Equity Officer will recommend an appropriate resolution with the Executive. This may include, but is not limited to:
(a) warning
(b) censure
(c) an apology to the complainant
(d) temporary or permanent removal from the club, to the best of its abilities.
(e) a change in club policy
(f) referring the matter to another body, including, but not limited to, the CUSID National Ombudsperson, or the CUSA Vice-President, Internal.

8. In the event of a conflict of interest between a complaint process and the Equity Officer, that Officer shall remove himself or herself and leave investigation and all other matters a third party agreed upon by the complainant and the Officer.

9. At the Annual General Meeting, the Officer shall give a report detailing the number of complaints investigated, which grounds the complaints were based on, and their result, without compromising relevant confidentiality.
